This Account & Data Deletion Policy explains how users of Digistra Wave Enterprise (“Digistra Wave,” “we,” “our,” or “us”) may request deletion of their account and eligible personal information associated with digistrawave.com.
We aim to handle deletion requests responsibly while maintaining information that must reasonably be retained for legal, transaction, security, fraud-prevention, or dispute-resolution purposes.
1. Scope of This Policy
This policy applies to personal information associated with Digistra Wave services, including:
- User accounts;
- Contact information;
- Webinar registrations;
- Learning activity;
- Subscription information;
- Eligible recording access;
- Certificate records;
- Support communications;
- Marketing preferences; and
- Certain transaction records.
Not every record can always be deleted immediately where continued retention is legally permitted or required.
2. Requesting Account Deletion
Users who want to close their Digistra Wave account or request deletion of eligible personal information may contact:
support@digistrawave.com
Please send the request from the email address associated with your Digistra Wave account where possible.
Clearly indicate that you are requesting account deletion or personal data deletion.
3. Information to Include
To help us identify the correct account or information, your request should include appropriate details such as:
- Your name;
- Account email address;
- Relevant webinar or subscription information where necessary; and
- A clear description of what you want deleted.
Please do not send passwords, complete card numbers, security codes, or unnecessary sensitive information.
4. Identity Verification
Before processing certain deletion requests, Digistra Wave may take reasonable steps to verify the identity of the requester.
Verification helps prevent unauthorized individuals from deleting or obtaining access to another user’s information.
We will seek to request only information reasonably necessary for verification.
5. What Happens When an Account Is Deleted
Where an account deletion request is valid and no overriding retention requirement applies, we may deactivate or delete the account and remove eligible personal information from active systems.
Account deletion may result in loss of access to:
- Purchased webinar areas;
- Subscription services;
- Eligible recordings;
- Saved learning resources;
- Learning history;
- Account preferences; and
- Certificates stored within the account.
Users should save any eligible materials they are permitted to retain before requesting permanent account deletion.
6. Information That May Be Deleted
Depending on the circumstances, eligible deletion may include:
- Account profile information;
- Optional profile details;
- Saved preferences;
- Certain webinar activity;
- Marketing preferences;
- Eligible support information; and
- Other personal information no longer required for a legitimate purpose.
Deletion will be subject to applicable legal requirements and exceptions.
7. Information We May Need to Retain
Some information may need to be retained after account closure.
Examples may include records reasonably required for:
- Transaction history;
- Accounting obligations;
- Legal compliance;
- Fraud prevention;
- Security investigations;
- Dispute resolution;
- Refund records;
- Enforcement of agreements; or
- Establishment or defence of legal claims.
Where information must be retained, we aim to limit it to what is reasonably necessary for the applicable purpose.
8. Webinar and Learning Records
Deleting an account may affect webinar registrations, participation records, learning history, and access to digital resources.
Certain learning records may be retained where necessary to establish that a service was delivered or to maintain legitimate certificate, transaction, compliance, or dispute records.
Where continued identification is unnecessary, information may be anonymized where appropriate.
9. Certificates
If Digistra Wave provides a certificate for an eligible webinar or learning activity, certain records may need to be maintained to support verification or administration of that certificate.
Users requesting complete account deletion should understand that deletion of relevant learning records may affect Digistra Wave’s ability to verify certificates later.
10. Subscription Information
Where a user has an active subscription, account deletion may affect access to subscription benefits.
A deletion request does not automatically create a right to a refund for an active or previously used subscription.
Refund eligibility is handled separately under our Cancellation & Refund Policy and applicable law.
11. Payment and Transaction Records
Payment transactions may be processed through independent payment providers.
Digistra Wave may retain limited transaction information such as:
- Transaction reference;
- Amount;
- Date;
- Payment status;
- Service purchased; and
- Refund status where applicable.
These records may be retained where reasonably necessary for accounting, fraud prevention, dispute management, or legal compliance.
Digistra Wave does not intentionally retain complete card security credentials as part of ordinary account records.
12. Marketing Information
Users do not need to delete their entire Digistra Wave account simply to stop promotional communications.
Where applicable, users may unsubscribe using the mechanism provided in marketing communications or contact us regarding their marketing preferences.
Certain minimal suppression information may be retained where necessary to ensure that an opt-out request continues to be respected.
13. Data Held by Third-Party Providers
Digistra Wave may rely on third-party providers for hosting, payments, webinar delivery, email services, analytics, security, or other technical functions.
Where a valid deletion request applies to personal information processed on our behalf, appropriate steps may be taken in relation to relevant service providers where required.
Independent third parties may have separate legal obligations requiring them to retain certain records.
14. Backup Data
Personal information may temporarily remain within secure backup systems after deletion from active systems.
Backup information may be retained for disaster recovery, system integrity, or security purposes and may be removed or overwritten according to applicable backup cycles.
Where information remains in backups, access should remain appropriately restricted.
15. When a Deletion Request May Be Limited
A deletion request may be restricted or refused where continued processing is lawfully necessary.
Examples may include:
- Compliance with legal obligations;
- Establishment or defence of legal claims;
- Fraud prevention;
- Security investigations;
- Protection of legal rights;
- Maintenance of necessary transaction records; or
- Other circumstances permitted under applicable data protection law.
Where appropriate, we may explain why certain information cannot be deleted.
16. Correction Instead of Deletion
If personal information is inaccurate but you wish to continue using Digistra Wave, you may request correction rather than deletion.
Where legally applicable, users may also request restriction of certain processing instead of complete deletion.
17. Privacy Rights
Depending on applicable law and your location, you may have rights to request:
- Access to personal information;
- Correction of inaccurate information;
- Eligible deletion;
- Restriction of processing;
- Objection to certain processing;
- Eligible data portability; or
- Withdrawal of consent.
Further details are available in our Privacy Policy and GDPR & Data Protection Policy.
18. Account Deletion Is Generally Permanent
Once eligible account information has been permanently deleted, it may not be recoverable.
Users should therefore consider whether they need to retain permitted copies of certificates or learning resources before requesting deletion.
Creating a new account later may not restore previous learning history, webinar access, or account information.
19. Changes to This Policy
Digistra Wave may update this Account & Data Deletion Policy to reflect changes in its services, account systems, technology, or applicable data protection requirements.
The latest version will be published on digistrawave.com.
